08.01 - Agreement with Crow Wing Sheriff's Department and the Pequot Lakes Police Department

1.0.4 The Crow Wing County Sheriff's Department agrees to provide documentation of all Pequot Lakes Police Department hot file entries and CJDN communications transmitted on behalf of the Pequot Lakes Police Department. A copy of all administrative messages entries entered by the Crow Wing County Dispatch Center on behalf of the Pequot Lakes Police Department, a copy of all hot file entries along with the acknowledgement from NCIC and/or CJIS, and the supportive information for the entry (i.e. vehicle registration) will be provided to the Pequot Lakes Police Department for their permanent records. All entries will be reviewed for accuracy and initialed by the entering dispatcher and a second certified party, preferably the senior dispatcher if on duty, to indicate the entry was verified for accuracy. 1.0.5 The Crow Wing County Sheriff's Department agrees to run criminal history inquires upon the request of a Pequot Lakes. Police officer after normal business hours providing the Pequot Lakes officer is not certified to do so and has an immediate need for the information. The Pequot Lakes Police Department ORI and the proper reason code will be used. A Criminal History Request form must be filled out in its entirety, and signed by the requesting officer. A case number or narrative must be provided by the Pequot Lakes officer on the request form, and the form shall be faxed or e-mailed prior to the dispatcher on duty running it. The request form will be retained by the Crow Wing County Sheriffs Department. 2.0 Peguot Lakes Police Department Responsibilities: 2.0.1 The Pequot Lakes Police Department agrees that CJIS/NCIC hot files will be accessible to Pequot Lakes officers 24 hours a day in order to provide a prompt response to the Crow Wing County Communication Center on hit confirmation requests, and that Pequot Lakes Officer will meet NCIC Standards of response as set forth in the NCIC 2000 Operating Manual, Introduction, Section 3.5. 2.0.2 The Pequot Lakes Police Department agrees to maintain all original law enforcement records as required by NCIC regulations and Minnesota Chapter 15.17 and adhere to data practice statutes, rules and regulations as set forth in Chapter 13, the Minnesota Government Data Practices Act. The Pequot Lakes Police Department agrees to be responsible for providing complete, accurate and timely information to the Crow Wing County Sheriff's Department in writing via e-mail or fax for all entries made into the "hot files" by the Crow Wing County Sheriffs Department on behalf of the Pequot Lakes Police Department after normal business hours. -2 -
