Citv of Pequot Lakes Citv of Peauot Lakes Personnel Policies
Title: Acceptable Use Policy for Computer, Effective Date: [date adopted]
Network Systems and Telephone
Effective Date(s)of Amendment(s):
provided it does not interFere with an employee's normal work and is consistent with
all provisions in this policy.
• If an employee wants to use or connect their own peripheral tools or equipment to
City-owned cellular telephones(such as digital cameras, PDAs,disks, cell phones,
mp3 players or flash drives),they must have prior approval from their supervisor and
must follow provided directions for protecting the City's equipment.
• The City may inspect any data or information stored on its equipment or network,
even if the information is personal to the employee.
• Use of City equipment or technology for personal business interests,for-profit
ventures, political activities or other uses deemed by the City Administrator to be
inconsistent with City activities or otherwise impermissible under other City policies
is not allowed. If there is any question about whether a use is appropriate, it should
be forwarded to the City Administrator for a determination.
In cases where the City does not regard accounting for personal calls to be unreasonable or
administratively impractical due to the minimal cost involved, personal calls made by
employees on a City-provided cellular phone must be paid for by the employee through
reimbursement to the City based on actual cost listed on the Cits phone bill.
19.1.2 Personal Cellular Telephones for City Use
In lieu of City issued cellular telephones, the City may require employees to use their
personal cellular telephone for City use. If this is the case, the employee is paid a monthly
stipend intended as compensation for City work-related use of their personal cell phone.
This plan is available to regular full-time employees and/or Department Heads only. Under
this plan, a cell phone or smart device is considered the employee's personal property.
The stipend amount is set annually by the City Council. In no circumstances may the
stipend exceed the total cost of the service plan. The cell phone stipend is intended to
cover a portion of the employee's cell phone expenses related to work duties. Purchase
of the cell phone, accessory equipment, and activation fees will be the responsibility of
the employee. The employee will pay all costs exceeding the amount of the cell phone
stipend. The stipend will occur on the first pay period of each month. The cell phone may
be used for both City and personal business and no audit is required.
The monthly stipend will be as follows:
• Cell phone (voice only plan):
o Up to 500 minutes per month $20 per month
o Over 500 minutes per month $30 per month
60
