Clerk's Staff Report <br />May, 2011 <br />Page 2 of 2 <br />would be beneficial to develop a WAC /SAC policy to address the use of the funds <br />and the method of charging for these fees. <br />HRA Meetings — Apri119, and May 17, 2011 <br />• Minutes of both of these meetings are attached. Erika O'Brien has resigned and <br />she has taken a position with BLADC. Barb Carlson has been hired as the HRA <br />director. <br />PROJECTS: <br />• Audit Proposals — The Clerk's office submitted proposals for conducting the <br />City's yearly audit. These proposals will be presented to the Council for review in <br />June. <br />• 2012 Budget — Department Heads have received their budget worksheets from <br />Nancy Malecha. Draft preliminary budgets are due to Nancy by June 30th. During <br />the budget process, staff also reviews job descriptions for accuracy. <br />• Police Chief — The Clerk's office is working with a consultant to complete the <br />background investigation for the Police Chief. I anticipate the background check <br />to be completed by the second week in June. <br />• Phone System — Met with TDS for a demo on a Managed IP system which would <br />be an upgrade to our existing phone system. Nancy Malecha and I will be asking <br />the Council to allow us to continue working with TDS to finalize a proposal for <br />Council consideration. <br />• Credit Card Payments — The Clerk's office is researching the possibility of <br />accepting payments by credit cards. <br />• Accounts Receivable Upgrade — Nancy Malecha and I attended a training <br />session with our existing financial software vendor for an upgrade to our accounts <br />receivable program. <br />• Web Site — Contacted web designers for a proposal to upgrade the City's web <br />site. <br />Clerk's Staff <br />• Reports from the Clerk's staff are attached <br />
