any use of force required in the line of duty, together with <br /> any actions or conduct or allegations which may result in <br /> liability to the City or Police Personnel, shall be duly <br /> reported, including potential claims through the chain of <br /> command. <br /> (2) Communication Between Police Department and Personnel <br /> Liaison. All investigative activity or personnel matters <br /> within the City shall be considered confidential information <br /> and shall not be released to any persons except City officials <br /> unless approved in writing by the responsible authority <br /> regarding data privacy or private information. The Personnel <br /> Liaison is cautioned to use great discretion and to not share <br /> any confidential information with any individuals except the <br /> City Council unless release of the information is approved <br /> by a responsible authority. <br /> (3) Data Practices Act. The Chief of Police shall be aware and <br /> make his entire staff aware of the Data Practices Act and to <br /> see to it that information obtained in investigation or other- <br /> wise is protected as defined by the Act and is not released <br /> unless authorized by the responsible authority. <br /> (4) Responsible Authority for Private Data or Privacy Information. <br /> The Council shall designate a responsible authority and an <br /> alternate responsible authority. <br /> (5) Daily Logs. All the activities of the Chief and police <br /> officers will be properly entered on the log sheets and turned <br /> in on a bi-weekly basis. Police personnel following <br /> every shift shall prepare daily logs and file the same with <br /> the Clerk, together with copies of all I.C.R.s reported to <br /> the County Sheriff. These logs will be the basis of the <br /> Chief's monthly report to the City Council so as to keep them <br /> updated on criminal activities as well as the other activities <br /> of the Police Department. The Chief must be prepared to <br /> address all questions of the City Council regarding log sheets <br /> and I.C.R.s submitted at the monthly City Council Meeting. <br /> In addition to the daily log, the other necessary reports <br /> shall be completed and forwarded to the appropriate agencies. <br /> Any major emergencies occurring within the City, including <br /> damage to patrol car, discharging of fire arms, fatality, <br /> major injury, or fire shall be reported through the chain of <br /> command immediately. <br /> (a) Court Time. Court time shall be properly logged, <br /> including time spent in preparation for Court and actual <br /> Court time. Said information shall be placed on the <br /> Chief's and police officer's log books and turned into <br /> the City Clerk on a bi-weekly basis. <br /> 2 <br />
