Special Meeting City Council Minutes
January 16, 2024
STEP 3. COUNCIL MEMBER RONNING SECONDED THE MOTION. MOTION
CARRIED 4-0.
A brief discussion continues confirming that Ms. Johnson knows the duties of the
role and is comfortable moving forward with the decision, to which she stated she
is.
3. Advertise for Administrative Assistant to the Police Department and
Administrative Office
Mayor Gardner leads a discussion regarding a new position for Administrative
Assistant, that will remove Deputy Clerk from the title. Council Member Pederson
asks if this will be a new job description as well. Mayor Gardner responds it will
be very similar but will have a few specific tasks removed from the description.
Discussion ensues on having the new job description approved by the Personnel
Committee before advertising the position.
Ms. Duus updates the Personnel Committee will decide on the starting wage
based on the candidate's experience, as it is a role with a starting wage range.
She states it is Grade 9, but the step is what they will decide for a staring wage.
COUNCIL MEMBER PEDERSON MOVES TO ADVERTISE THE APPROVED
POSITION FOR ADMINISTRATIVE ASSISTANT TO THE POLICE
DEPARTMENT AND ADMINISTRATIVE OFFICE.
Council Member Ronning questions why the change of the position title is
necessary or what the difference is. Ms. Duus responds that the previous Deputy
Clerk had that title because she was assisting with more clerk duties, but that will
not be the case with the Administrative Assistant position. It will be administrative
duties, such as assisting all areas of both offices, answering phones, greeting
people at the window, and utility billing. Discussion continues regarding who this
person would report to, in hopes of keeping it to one person versus two different
departments, etc. Ms. Duus replies that they would keep the direct reporting to
Ms. Johnson, as she can assist and train in both the Administrative Office and
Police Department.
COUNCIL MEMBER RONNING SECONNDED THE MOTION. MOTION
CARRIED 4-0.
A brief discussion continues regarding how long the advertisement should be
posted. Everyone agrees that two weeks should be sufficient, however, Mayor
Gardner says he will defer to Ms. Duus on whether we have enough applicants in
that timeframe or if for some reason it should be extended. It is possible that we
could get this in for the next Council Meeting, but if not, we could hold a special
meeting.
