Clerk's May Staff Report <br /> Page 3of4 <br /> Budgets — 2009 <br /> • The Clerk's office has met with all departments regarding the 2009 budget <br /> process. Nancy has prepared and distributed all budget forms necessary for <br /> department heads to prepare budgets. We will be holding a council work session <br /> on the 2009 budgets and set a preliminary levy at the September Council Meeting. <br /> Highway 371 <br /> • The Highway 371 committee continues to meet on a monthly basis (Tommy <br /> Woog, Tom Adams, Dave Sjoblad, Mike Loven, Sandy Peine, Gary Giltner, <br /> Dawn Bittner, Cathy Malecha, Chuck Marohn, WSN, and Tim Bray). We have <br /> also been meeting with the County Engineer on this issue. This issue is on the <br /> Council agenda for June — Mike Rude will give the Council an update). <br /> Cole Memorial Building <br /> • The Clerk's Office is working with the Historical Society and the Senior Citizens <br /> Club to update the leases on this building. We will have an update for the Council <br /> in the near future. <br /> Storm Water Management Fees <br /> • Jeanyne Alderson is making all of the changes and completing the data entry for <br /> the new accounts. Billing for the new accounts (Sibley Township property) will <br /> take place in November. We will be sending out a letter with the invoice <br /> explaining the reason for the bill. <br /> Utility Billing, Accounts Receivable Software <br /> • The Clerk's office has been working with Civic Systems to transfer the necessary <br /> data required for the utility billing and accounts receivable software. Training will <br /> take place in Bloomington the week of June 16. Nancy Malecha, Jeanyne <br /> Alderson and Sandy Peine will be attending the training. Jeanyne will be gone <br /> June 16 — 18, Nancy will be gone June 16 — 19, and I will be gone June 18 — 19. <br /> Elections <br /> • The Election process has begun. Jeanyne and I have attended our first election <br /> meeting at the County. We have sent out letters to judges. The Council will be <br /> appointing the election judges hopefully in July. The City will have 4 seats open <br /> as follows: <br /> • Council Member — 2 year Term <br /> • 'l Member — 4 Year Term <br /> Counci <br /> • Council Member — 4 Year Term <br /> • Mayor — 2 Year Term <br />
