Page 2 <br /> <br /> <br />J. Scans and categorizes documents using electronic document management <br /> system. <br />K. Serves as notary public. <br />L. Processes mail. <br />M. Prepares and processes the issuance and renewal of miscellaneous licenses such <br />as liquor, gambling, garbage, transient merchant and tobacco. <br />N. Maintains business inventory. <br />O. Orders and maintains office supplies for departments. <br />P. Maintains proper licensing of City Vehicles. <br />Q. Attends safety trainings. <br /> <br />3. Finance Duties. <br />A. Performs accounts payable activities: processes and writes prepaid expense <br />checks; compiles and codes invoices; enters data into computer and prepares a list <br />of claims for Council approval; produces and mails checks to vendors; keeps <br />orderly records of payments for yearly audit; and assists in audit. <br />B. Balances receipts with total cash balance and receipts daily checks. <br />C. Makes bank deposits. <br />D. Performs payroll activities: process bi-weekly payroll for City employees and <br />elected officials; updates employee records, prepares paychecks including <br />employee taxes/deductions; produces accounts payable checks for all deductions; <br />files all records. <br />E. Performs accounts receivable activities. <br />F. Prepares annual fire contracts. <br />G. Other duties as assigned. <br /> <br />4. Miscellaneous Duties. <br />A. Process special assessment searches. <br />B. Assist Zoning Specialist with Planning & Zoning duties. <br />C. Assists with preparing and distributing agenda packets and related materials for <br />various meetings; attends meetings; takes notes and prepares minutes; distributes <br />meeting minutes. <br />D. Other duties as assigned. <br /> <br />Required Knowledge, Skills, and Abilities: <br />x Knowledge of general office practices, procedures and equipment. <br />x Exceptional customer service and public relations skills. <br />x Knowledge of City operations, ordinances and practices related to finance, <br />budgeting, accounting and payroll. <br />x Ability to work cooperatively with staff, general public, and state & local <br />agencies. <br />x Ability to prioritize duties, work independently, and problem solve. <br />x Ability to present positive and professional image of the City. <br />x Ability to use computer and related software as well as other related office <br />equipment. <br />x Ability to keyboard rapidly and accurately. <br />x Ability to maintain confidentiality of sensitive material.
