Adopted: 11/10/2020 <br />City of Pequot Lakes <br />Job Description <br /> <br /> <br />Job Title: Utility Billing/Administrative Specialist <br /> <br />Department: Administration <br /> <br />Supervisor: City Clerk/Treasurer <br /> <br />Positions Supervised: None <br /> <br /> <br />Position Summary: <br />Performs all aspects of utility billing. Performs a variety of routine finance and <br />administrative support duties to support the Administration Office. Serves as the main <br />public and phone contact for the City. <br /> <br />Job Duties: <br /> <br />1. Utility Billing Duties. <br />A. Responsible for utility billing processing; including processing bills, payments <br />and adjustments as needed. <br />B. Provide customer service on-site, front counter, e-mail inquiries and phone calls; <br />assist new customers in account set-up and changeovers, complete assessment and <br />utility search inquiries. <br />C. Collects and enters data, prepares invoices and billing reports; posts transactions; <br />processes work orders for connections or disconnections; performs related other <br />public works services as requested; pursues collection of delinquent utility <br />accounts; prepares final notices, shut-off and turn-on orders; researches accounts. <br />D. Compiles data for water/sewer budgeted revenue. <br />E. Prepares information for accounts for collections and/or tax certification. <br />F. Assist with year-end audit schedules and preparation. <br /> <br />2. Administrative Duties. <br />A. Responsible for answering and directing incoming telephone calls. <br />B. Greets, assists and directs public as they enter City Hall. <br />C. Copies and assembles meeting agenda packets. <br />D. Processes reservations for City parks and buildings. <br />E. Performs records management duties. <br />F. Responsible for word processing letters, memos, resolutions, licenses, <br /> business cards, etc. <br />G. Serves as an election judge and attends training. <br />H. Maintains key holder list in Administration Office. <br />I. Coordinates and maintains the City’s website and social media.
