Three RFP's were received from: <br /> Bolten&Menk <br /> Widseth <br /> WSB <br /> Interviews were conducted during the morning of December 22, 2020. Each of the four local <br /> governments was represented or watched recordings of the interviews. Each of the Engineering <br /> firms put considerable effort in responding to the 20 page RFP. The Committee members met <br /> after the interviews and discussed each presentation. The representatives from the cooperative <br /> communities were confident that each of the Engineering firms was capable of completing the <br /> requested tasks based upon their submitted responses and interviews. When evaluating the <br /> engineering firms presentation consideration was given based on the following factors and <br /> corresponding scale: <br /> 1. Expressed understanding of project scope/objectives............. 20% <br /> 2. Quality and technical evaluation of the proposal, <br /> project approach,methodology, and the use of <br /> Technology/Innovation.................................................20% <br /> 3. The experience and qualification of the project <br /> manager and team members............ ................................ 20% <br /> 4. Quality of the work plan and project schedule..................... 20% <br /> 5. Overall not to exceed cost(Phase 1) .................................20% <br /> 100% <br /> Coonerative Committee recommends Bolton &Menk <br /> Council Action Requested: <br /> As a group,Jason Gorr- Public Works Director,Rich Spiczka-City Administrator and Cheri <br /> Seils, Council Member recommends a Council motion entering into an agreement with Bolton& <br /> Menk to conduct Phase One Engineering from the Cooperative Road Project RFP submitted on <br /> December 1, 2020 in the amount of$102,526.00 of which Pequot Lakes' share is 45.4%or <br /> $46,546.80. <br /> Additionally, staff request a Council motion authorization to submit a request for a Sourcewell <br /> grant up to $10,000.00. This grant should reduce the City of Pequot Lakes' expense by <br /> $10,000.00 for a total expense of$36,546.80. <br />
