Clerk's March 2009 Staff Report <br />Page 2 of 3 <br />---------------------------------- - - - - -- <br />March 16th Meeting .... (Minutes are attached) <br />PROJECTS: <br />Health Insurance Committee .... (Notes from the meeting are attached) The Health <br />Insurance Committee has met for the first time on March 5th. The committee talked about <br />the Council's directive to look into other plan options. At the next meeting which is <br />scheduled for April 91h, the Committee will study different plan and plan costs as <br />provided by NJPA. <br />Records Management.... The Clerk's office has moved the records storage room from <br />the garage area of the building to the old library's computer room. During this move, the <br />records were organized, shelved and many old records were destroyed according to the <br />City's records management plan. Over 1,000 pounds of old records were shredded. <br />Temporary Premise Application ..... The Council recently updated the liquor ordinance <br />and included an application process and license for a temporary premise application for <br />liquor establishments that want to hold an event on their property outside of the licensed <br />establishment. A new application form was designed for this process. <br />Tobacco License Application .... The tobacco license application form was updated to <br />better reflect the requirements of the ordinance. <br />New Licenses .... In the last month the City has issued the following new licenses: <br />• 2 tobacco licenses <br />• 1 off -sale 3.2% malt liquor license <br />• 1 on -sale wine license <br />• 1 on -sale 3.2% malt liquor license <br />• 1 on -sale beer license <br />Audit .... The auditors were at City Hall from March 22 -26. As you will see by Nancy <br />Malecha's monthly report, she was very busy preparing for the audit. She was also very <br />busy during the audit supplying the auditors with information. <br />Clerk's Conference.... The City Clerk attended the Minnesota Clerk's and Finance <br />Officers Conference from March 16 -19. Following is a list of sessions that I attended <br />during the conference: <br />• Leaving No Rock Unturned — Identifying the options and understanding the trade- <br />offs to help the City remain on solid financial ground. <br />• The Power of Positive Choice — Influencing employees and creating a positive <br />office environment <br />• Teamwork Makes the Dream work — Emphasis on communication skills to help <br />employees focus on organizational goals <br />• Coaching to Improve Performance I & II — Tools for public employers for dealing <br />with discipline, modification of behavior and discharge of employees <br />• Election — Secretary of State Mark Ritchie reviewed new election laws (this <br />counted toward required election training for Clerks) <br />
