City of <br />Pequott <br />Lakes— <br />AGENDA ITEM #11.3. <br />REPORT TO <br />CITY COUNCIL <br />Date: April 7, 2009 <br />Subject: Travel Expense Policy Amendment <br />Report: The City's existing travel policy requires City <br />employees to use a city vehicle for travel if a city vehicle is <br />available. There are sometimes unusual circumstances that <br />require an employee to use their own vehicle rather than a <br />City vehicle. One example is if an employee will be doing <br />personal duties after or during a conference. <br />The City's policy requires the City to reimburse mileage at <br />the Federal mileage rate if an employee uses a personal <br />vehicle. The amendment to this policy would require the <br />City to pay the federal mileage rate minus .21 cents for <br />using a personal vehicle, if the City vehicle is available but <br />the employee chooses to use their own vehicle. The .21 <br />cents equates to vehicle depreciation. <br />If a City vehicle is not available and an employee must use <br />a personal vehicle, mileage will be reimbursed at the <br />federal rate. <br />
