Pequot Lakes Community Library <br /> Board Meeting <br /> Tuesday,January 20,2009 <br /> Acting Chairperson Lydia Loven called the meeting to order. <br /> Board members present: David Anderson,Nancy Adams, Sam Hennies, Claire Nagel, Lydia Loven, and <br /> Tina Hanneken. John Longnecker was absent.No visitors were present. <br /> A motion was made to approve the December 9, 2008 minutes. David Anderson made a motion and Sam <br /> Hennies seconded that motion. Motion carried. <br /> Treasurer's Report by David Anderson: <br /> As of 12/31/2008 Total: 130,526.89 <br /> Checking Account: $8,572.57 Endowment Fund: $70,465.08 <br /> Rainy Day Fund: $10, 342.77 Building and Expansion: $41,146.47 <br /> Money was moved from our building account to a City account that was designated for our specific <br /> building fund purpose. <br /> Nancy made a motion to approve the treasurer's report. Sam seconded the motion. Motion carried. <br /> Committee Reports: <br /> Volunteer Coordinator—Nancy stated things are going well. There has been a retirement,but we have a <br /> waiting list of volunteers that may be interested. <br /> Publici —Once a year Claire will list/name the"In Memory of donation in the paper. There are 6-7 <br /> names for 2008. <br /> Fundraising—the following are approximations of the contributions for 2008. <br /> Total--$20,000 $8,000 Endowment; $2,500 Materials; $690 Daily Operations; $5,000 Building <br /> Fund; $2,200 Summer Program; and $1,200 other misc. <br /> Old Business- <br /> An Architect will give us a basic drawing to continue the ongoing process of our Library Expansion. The <br /> drawings will help refine old and new ideas. <br /> New Business: <br /> • "Conversation With..."Ann Hutchins has agreed to continue exploring new topics and finding <br /> speakers. There was discussion about a time/day. It was determined that Mondays 11AM-12:00 <br /> would work best. <br /> • A $50 honorarium will continue to be given to the speakers. <br /> • Discussion continued on fundraising possibilities; matching funds; and library expansion <br /> hopes/dreams. It was mentioned that there could be an open house at the library to share the <br /> "plans" from the architect. <br /> • A motion was made to make an addition to our bylaws. The motion is as follows: The library can <br /> display materials from non-profit groups pending approval of the Library Board. The library will <br /> not display materials that raise funds for non-profit or for-profit groups.Nancy made the motion. <br /> David seconded the motion. Motion carried. <br /> • John Longnecker sent an email discussing the 2009 City budget. Dave made a motion; Claire <br /> seconded the motion. Motion carried. Motion is as follows: The library board realizes that due to <br /> reduction in the state funding to city governing bodies there will be significant cuts necessary in <br /> the city budget. Because of our appreciation of past assistance from the city council the library <br /> board would make not objection if the council were to cut the financial assistance that was planned <br /> for 2009. The intension is that by 2010 the financial situation would be improved to the point that <br /> the funding could be reinstated. <br /> NO MEETING IN FEBRUARY NEXT MEETING: Tuesday,March 17,2009 <br />
